How solicitors should redact PDFs

Legal practice runs on documents that mix privileged material, third-party personal data and client confidences. A single failed redaction in a bundle or disclosure can mean an SRA report, a privilege waiver argument, or an embarrassed apology to the court. Here's a redaction workflow that holds up.

The failure mode: cosmetic redaction

Courts and regulators have seen it repeatedly: a bundle PDF where 'redacted' passages are black rectangles with live text underneath. Opposing counsel selects the text, or an e-disclosure platform extracts it, and the privileged or personal content is out. If the underlying text survives in the file, no redaction has occurred.

The second failure is process: no record of what was redacted or why. When a redaction is challenged, you want to show a considered exercise, not guesswork.

A defensible workflow

Work on copies, redact permanently, and record the exercise. Nullify burns redactions into the page pixels — the text objects in redacted regions are destroyed in the export, so nothing can be selected or extracted. Every export is accompanied by a PDF audit report listing detected items, what was accepted and what was dismissed, which slots straight into the matter file.

Client confidentiality also means being careful where documents travel. Nullify's manual redaction is entirely client-side: bundle pages never leave the machine. For long disclosure sets, the AI pass (Claude, text-only, nothing stored) can pre-mark names, addresses, account numbers and national identifiers across up to 50 combined pages for $2.99 — the fee earner reviews and approves every mark.

Common legal redaction scenarios

DSAR responses: redact third-party personal data from emails and records before disclosure. Disclosure/inspection: redact irrelevant confidential material and privileged passages, and be ready to justify each. Court bundles: redact bank details, minors' details and addresses as directed. Land Registry and probate documents: redact financial details not required by the recipient.

Step-by-step

  1. Step 1

    Duplicate the source document

Keep the unredacted original in the matter file; redact the copy.

  2. Step 2

    Run detection or mark manually

Use AI detection with the relevant regional profile, or draw boxes manually for privileged passages the AI can't judge.

  3. Step 3

    Fee-earner review

Accept or dismiss each suggestion. 'Accept All' only unlocks after scrolling the entire document — a built-in full-review nudge.

  4. Step 4

Export and file the audit report

Serve the burned-in PDF; file the audit report as your record of the redaction exercise.

Frequently asked questions

Is browser-based redaction appropriate for privileged material?+

Manual redaction in Nullify is fully client-side — the document never leaves the machine, which is stronger than emailing files to a processing service. For privileged passages, mark manually; AI mode sends extracted text only — we store nothing and it is never used to train AI models.

Can I prove what was redacted?+

Yes — every export includes a PDF audit report listing categories detected, counts accepted and dismissed, plus manual redactions, per document.

How should redactions be justified in disclosure?+

Maintain a redaction log tied to your disclosure statement. The audit report provides the raw record; your log adds the legal basis per redaction.

Does it handle scanned exhibits?+

Yes — pages without a text layer are OCR'd on-device before AI review, and manual boxes work on any page.
